Tips for distinguishing genuine and fake foreign trade inquiries

2023-06-13

In the foreign trade industry, foreign trade sales personnel often receive inquiries from around the world. Some people ask for product specifications, some ask for product quotes, and some directly ask for samples. The quality of these inquiries varies from person to person, and we need to distinguish between good and bad, and then handle them accordingly. So, how to determine the authenticity of foreign trade inquiries? Here are five ways to easily distinguish between genuine and fake inquiries.

1. Judging based on the title of the foreign trade inquiry

In the inquiry email, the title is clear to us, so we can first distinguish authenticity by judging the title. If the title of the inquiry is not related to our product or advertisement, we can directly delete it. In addition, by checking the subject of the email, we can also check whether the buyer is sending in groups or separately.

2. Judging by the end of a foreign trade inquiry

If the authenticity cannot be determined by the inquiry title, it can be determined by looking at the end of the inquiry. Usually, genuine inquiries from regular companies leave a complete signature, company name, detailed address, and contact information at the end.

3. Judging based on the content of the foreign trade inquiry

After reading the title and end of the inquiry, we can determine the authenticity of the inquiry based on the specific content of the inquiry email.

① Check if detailed product information was inquired about in the email. For example: product name, specific product model, delivery date, function, technical parameters, etc;

② Has the inquiry content and price inquired about the ordered quantity of the product;

③ Check if the customer mentioned product certification issues in their inquiry.

④ Check if the delivery time and payment method mentioned in the inquiry are mentioned. Usually, if this content appears in an inquiry, it can be basically determined that the customer is eager to purchase a certain product.

⑤ Check if the attachment was sent in the inquiry email. Many customers who send you inquiries for the first time will point out the products they are interested in in in their emails. Usually, they do not send you attachments for your quotation. If the customer has sent you an attachment in the inquiry email, you must be careful. Of course, not all emails with attachments are false inquiries, which requires us to make a judgment based on other aspects.

Through clues from foreign trade inquiry emails, we can assess the psychological status of some customers and assess the quality of inquiries. Of course, for certain inquiry emails, we cannot determine the true intention of the customer at once, but we can effectively assess the quality of the inquiry through multiple communications and analysis of the inquiry content, thereby confirming our subsequent actions.

In addition, it is worth mentioning that while judging the quality of an inquiry based on its content, you can also use search engines such as Google to inquire about the existence and detailed information of the other party's company, to help us determine the authenticity of the inquiry content.

4、 Judging based on the sending time of the inquiry

When doing business with foreign customers, we must pay attention to the Jet lag, so we can also use this to judge the authenticity of inquiries. Customers usually do not send us emails during their break time. We can determine whether the inquiry is correct or incorrect based on the appropriateness of the email sending time and other information.

Through the above four methods, it can basically help you distinguish the vast majority of real and incorrect foreign trade inquiries, as well as a small number of difficult to distinguish inquiries. Foreign traders can use various communication methods and combine the information you already have to determine the authenticity of inquiries to avoid being deceived.
